Overview
This guide explains how to view, create and manage candidate records within EduTeam.
Work with existing candidates
Navigate to Maintenance > Candidates
The candidate list page shows you a list of all candidates in the system.
You can use these filters to quickly locate specific candidates:
- Search - by keyword
- Active – show or hide inactive candidates
- Compliant – show or hide non-compliant candidates
- Activity – filter by primary activity type
- Specialism – filter by specialism
Each candidate record includes quick actions to:
- Send a WhatsApp message
- View the candidate’s location in Google Maps
Add a new candidate
Click the Add button
You will see the add/edit candidate page
Each candidate has the following fields on the general details tab :
| Field | Description |
|---|---|
| Name | The full name of the candidate |
| Known As | How the candidate would like to be referred |
| Contact email | |
| Address | Contact address (use for Google maps) |
| Mobile | Contact mobile (used for WhatsApp communication) |
| Landline | Contact landline |
| Primary activity | The type of Activity that this candidate is registered to perform. This field drives the candidate compliance checks. |
| Secondary activity | A second type of Activity for information purposes. |
Switch to the registration tab
You will see registration details for this candidate
There are additional fields on this tab to record registration details for the candidate:

| Active indicator | Helps to filter Active and inactive candidates |
| Registration date | The date the candidate registered with you |
| Date first worked | The date the candidate first worked with you |
| Date of birth | The candidate’s date of birth. This is used by certain compliance checks. |
| DBS Number | Disclosure and Barring Service (DBS) number |
| Teacher Reference Number | Teacher Reference Number |
| National Insurance Number | National Insurance Number |
| Notes | Other notes about the candidate (preferences, availability and other notes.) |
| Consultant | The consultant (administrator) who is the candidate’s primary point of contact. |
Switch to the specialisms tab
The specialisms tab allows you to mark the candidate with a number of specialisms. This can assist with candidate filtering.
Switch to the compliance tab
The compliance tab provides an overview of the compliance documents held for this candidate. All mandatory compliance documents must be valid for the candidate to be considered as compliant to perform their primary activity.
Switch to the security tab
The security tab is where you can optionally associate a candidate with a user profile. This allows the candidate to log into Eduteam.
Once the candidate record has been created you can:
- Upload any required compliance documents
- Verify compliance status
- Create activities for this candidate as required
